Hays is seeking a motivated and adaptable Project Support Officer to join a collaborative team supporting the delivery of major programs and strategic projects. This is an excellent opportunity for an organised administrator with project support experience who enjoys working in a fast-paced environment where priorities can shift and no two days are the same.


This role will provide hands-on support to project leaders and stakeholders, assisting with project administration, meeting coordination, reporting, document management, and stakeholder engagement.


Your new role

Working within a high-performing project environment, your responsibilities will include:

  • Providing project, administrative and financial support across a range of projects and initiatives
  • Coordinating meetings, workshops and stakeholder forums
  • Preparing agendas, supporting documentation and action registers
  • Taking meeting notes and following up outstanding actions
  • Maintaining project documentation, records and document control systems
  • Assisting with project reporting, status updates and project tracking activities
  • Formatting reports, presentations and project documentation
  • Conducting research, gathering information and assisting with analysis of project-related issues
  • Supporting project planning, monitoring and delivery activities
  • Building and maintaining strong working relationships with internal and external stakeholders
  • Ensuring project records are maintained accurately and in accordance with established processes
  • Providing general administrative support to project teams as required

What you'll need to succeed

To be successful, you will demonstrate:
  • Previous experience in a Project Support Officer, Project Administrator, Team Coordinator or similar role
  • Experience providing administration and coordination support within a project, program or corporate environment
  • Strong organisational skills with the ability to manage competing priorities
  • Excellent written communication skills and experience preparing reports, correspondence and project documentation
  • Strong stakeholder engagement and interpersonal skills
  • Sound research and problem-solving capabilities
  • High attention to detail and commitment to quality outcomes
  • Proficiency across the Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint
  • Experience working with document control or records management systems

Highly regarded:
  • Previous State Government experience
  • Exposure to major infrastructure, program delivery or project environments
  • Experience using systems such as Objective, Aconex or similar document management platforms
