Our State Government client is seeking a proactive and detail-oriented Travel Coordinator to manage travel arrangements, reporting and administrative processes within a large and fast-paced environment. This role is ideal for a highly organised professional who enjoys working with a broad range of stakeholders, managing competing priorities and ensuring travel-related activities are delivered efficiently and in compliance with established policies and procedures.

Your new role

As the Travel Coordinator, you will be responsible for coordinating travel arrangements for staff, including interstate and overseas travel, while ensuring compliance with relevant policies and approval processes. You will liaise with internal stakeholders and external travel providers to coordinate bookings, payments and travel logistics.
The role also supports urgent travel and transport requests, maintains accurate records, prepares reports and assists with official correspondence relating to travel activities. Key responsibilities include:

  • Coordinate end-to-end domestic and international travel arrangements, ensuring bookings, approvals, itineraries and related documentation are completed accurately and in accordance with organisational policies and procedures.

  • Liaise with employees, managers and external travel providers to organise flights, accommodation, transport and associated travel requirements while providing a high level of customer service.

  • Manage travel approval processes and monitor compliance with relevant government, organisational and legislative requirements relating to travel expenditure and travel management.

  • Coordinate urgent and time-sensitive travel and transport requests, ensuring critical requirements are prioritised and delivered within required timeframes.

  • Maintain accurate records, databases and supporting documentation relating to travel arrangements, approvals, bookings and expenditure.

  • Prepare official correspondence, travel-related communications and supporting documentation for internal and external stakeholders.

  • Compile, analyse and produce regular travel activity reports, including monthly and quarterly reporting, ensuring data integrity and timely submission.

  • Monitor travel-related invoices, payments and administrative processes, working closely with relevant stakeholders to ensure accurate processing and reconciliation.

  • Identify opportunities to improve travel coordination processes, recordkeeping practices and service delivery outcomes while maintaining compliance requirements.

  • Develop and maintain strong working relationships across the organisation and with external service providers to ensure the efficient delivery of travel and coordination services


What you'll need to succeed

  • Experience within State Government coordinating travel processes

  • Excellent organisational skills with the ability to manage competing priorities and strict deadlines.

  • Strong written and verbal communication skills.

  • High-level stakeholder engagement and customer service capabilities.

  • The ability to work autonomously while maintaining a high level of accuracy and attention to detail.

  • Strong problem-solving skills, initiative and sound judgement.

  • Experience with records management, reporting and administrative systems would be highly regarded.
