Your new role
An exciting opportunity has become available for an experienced Executive Assistant to provide high-level support to the Chief Executive Officer. This is a pivotal role within the Office of the CEO, responsible for ensuring the smooth day-to-day operation of the executive office while enabling the CEO to focus on strategic priorities. You will be trusted to manage competing demands, coordinate executive activities, maintain strong stakeholder relationships, and provide confidential administrative support in a fast-paced environment. The successful candidate will demonstrate exceptional organisational skills, sound judgement, discretion, and the ability to proactively anticipate business needs.
Your responsibilities will include:
- Providing proactive executive support to the CEO, including complex calendar and inbox management.
- Coordinating meetings, appointments, travel arrangements, and executive schedules.
- Preparing, editing and formatting correspondence, reports, presentations, board papers and other executive documentation.
- Supporting executive leadership meetings through agenda preparation, minute taking and action tracking.
- Monitoring and following up on key organisational priorities, milestones and deadlines.
- Acting as the primary point of contact for internal and external stakeholders on behalf of the CEO.
- Building and maintaining strong relationships with senior leaders, partners, suppliers and community stakeholders.
- Drafting correspondence and communications on behalf of the CEO.
- Managing invoices, reimbursements and administrative processes for the business unit.
- Assisting with governance activities, compliance-related administration and organisational reporting requirements.
What you'll need to succeed
- Proven experience in an Executive Assistant or senior administrative support role.
- Demonstrated experience supporting C-suite or executive-level leaders.
- Exceptional organisational, prioritisation and time management skills.
- Strong written and verbal communication skills with the ability to engage professionally with stakeholders at all levels.
- Experience managing complex schedules, travel arrangements and confidential information.
- A proactive, solutions-focused approach and the ability to work autonomously.
- Strong attention to detail and the ability to manage multiple competing priorities.
- High levels of discretion, professionalism and integrity.
- Advanced Microsoft Office skills across Outlook, Word, Excel and PowerPoint.
