Full Time General Clerk $98,000 per annum plus superannuation

Summary The General Clerk provides administrative and clerical support to the operations of Dubbo Grain Packing (DGP). The position is responsible for maintaining records, processing documentation, data entry, preparing correspondence, coordinating office activities, and supporting grain storage and handling operations through efficient administrative services.

Duties and Responsibilities

General Administrative Support
• Perform a range of clerical and administrative duties to support site operations.
• Prepare, process and file business documents, forms and correspondence.
• Maintain electronic and physical filing systems.
• Receive, sort and distribute incoming mail and communications.
• Assist management with routine administrative tasks.

Record Keeping and Data Entry
• Enter and update operational information into company databases and record systems.
• Maintain records relating to grain receivals, dispatches and inventory movements.
• Verify information for accuracy and completeness.
• Retrieve records and documents as requested by management.
• Ensure records are maintained in accordance with company procedures.

Document Preparation
• Prepare routine reports, spreadsheets, forms and correspondence.
• Compile operational data for management reporting purposes.
• Assist with preparation of meeting agendas, minutes and administrative documentation.
• Maintain document registers and administrative records.

Customer and Stakeholder Liaison
• Respond to routine enquiries from customers, suppliers, transport operators and
• contractors.
• Direct enquiries to appropriate personnel when required.
• Provide administrative support to visitors and site personnel.
• Maintain professional communication with internal and external stakeholders.

Operational Administration Support
• Assist with processing grain receival and dispatch documentation.
• Maintain weighbridge and transport records.
• Support scheduling and coordination of administrative activities during harvest periods.
• Assist operational staff with document management and record maintenance.

Compliance Administration
• Maintain records required for workplace health and safety, training and compliance
• purposes.
• Assist with preparation of documentation for audits and inspections.
• Ensure administrative records are current, accurate and readily accessible.
• Support implementation of company policies and procedures.

Reporting
• Prepare routine administrative and operational reports.
• Compile statistical information and summaries as requested by management.
• Assist with monitoring and reporting of administrative activities.

Skills and Competencies
• Strong administrative and clerical skills.
• Accurate data entry and record management capability.
• Sound computer and office software skills.
• Strong organisational and time management skills.
• Effective written and verbal communication skills.
• Attention to detail and accuracy.

Qualifications and Experience
• Certificate III, Certificate IV or higher qualification in Business Administration or a related field; or
• At least one year of relevant clerical or administrative experience.
• At least 12 months experience with a program called Agtech and Agri-digital.
