This is an exciting opportunity to join a high-profile Australian Government program responsible for delivering significant regulatory and business transformation initiatives. Working within a complex and fast-paced environment, you will play a key role in supporting governance, program coordination, and executive decision-making processes that contribute to important national outcomes.

Your new role

As the Program Secretariat Officer, you will provide high-quality governance and secretariat support to senior program leadership and governance bodies. You will be responsible for ensuring the smooth operation of governance forums, maintaining accurate records, supporting program reporting, and contributing to effective program administration.

Key responsibilities include:

  • Coordinating governance meetings, including agendas, meeting papers and meeting packs.
  • Recording and distributing accurate minutes, decisions and action items.
  • Managing meeting logistics and stakeholder communications.
  • Maintaining governance documentation, registers and records.
  • Supporting program reporting, administrative activities and document preparation.
  • Assisting with the development and maintenance of work schedules, forward plans and calendars.
  • Monitoring and escalating program risks where required.
  • Supporting onboarding and capability uplift activities for new team members.
  • Assisting with the development of governance frameworks, terms of reference and operating procedures.
  • Building strong working relationships across program teams and key stakeholders.

What you'll need to succeed

To be successful in this role, you will possess:

  • Previous APS experience in program secretariat support.
  • Strong organisational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • The ability to manage competing priorities and meet deadlines in a dynamic environment.
  • Strong stakeholder engagement and relationship-building capabilities.
  • Experience preparing reports, briefing materials and governance documentation.
  • A proactive, solutions-focused approach with the ability to work independently and collaboratively.
  • Proficiency across the Microsoft Office Suite and familiarity with project management tools.
Please note that you need to have a Baseline Security Clearance to be considered for the vacancy.
