Your new role

Reporting to the Knowledge Manager, this role ensures that corporate records are captured, classified, stored, and disposed of in a manner that supports accountability, transparency, and operational efficiency across the organisation. The Records Management Lead provides specialist expert advice on recordkeeping obligations, coordinates records management training, and supports continuous improvement of the department's information management practices.

In this role you will,
  • Coordinate the organisation compliance with the Public Records Act 1973 (Vic) and applicable PROV standards, policies, and disposal authorities; monitor legislative and policy developments and advise management on implications for organisational practice.
  • Oversee the full lifecycle management of physical and digital records, including capture, classification, retention, transfer, and disposal applying records and information management policies, procedures, and standards (including naming, search, and content management) to meet legislative requirements.
  • Interpret and apply archival, retention, and disposal schedules, coordinating the transfer, retention, and destruction of records in line with Retention and Disposal Authority and Victorian Electronic Records Strategy (VERS) requirements including preparation of disposal documentation and transfer of permanent records to PROV.
  • Assist the Knowledge Manager in supporting compliance with Victorian Protective Data Security Standards (VPDSS) by helping identify, classify, protect, and manage storage of information assets, applying security impact levels within records and information management systems.
  • Contribute to the development and implementation of the governance framework, including policies and procedures for data classification and information security.
  • Provide specialist advice and hands-on support for lifecycle management of records and information management applications, EDRMS (e.g. Content Manager) project delivery activities, and user support.
  • Develop and deliver records and information management induction, training and guidance materials on records policies, procedures, and EDRMS use, including one-on-one and group training sessions as required.
  • Partner with business units to drive improvements and implement continuous improvement initiatives.


What you'll need to succeed

  • Demonstrated knowledge of Victorian and Commonwealth records management legislation, standards, and frameworks, including the Public Records Act 1973 (Vic), PROV standards, and AS ISO 15489.
  • Previous experience in the public sector or a similarly large, highly regulated corporate environment managing digital transformation or document migration
  • Proven experience administering an EDRMS (such as HPE Content Manager, Microsoft SharePoint, or equivalent) including system maintenance, configuration, and user support.
  • Sound understanding of information governance principles, including data classification, privacy obligations, and the Freedom of Information Act 1982 (Vic).
  • Experience with implementing and managing Records Disposal Authority policies and controls, including VERS requirements.
  • Demonstrated ability to develop and deliver training, produce guidance materials, and advise staff on recordkeeping obligations clearly and in plain language.
  • Strong analytical and organisational skills, with the ability to manage competing priorities and meet deadlines in a complex environment.
