New Horizon Construction Business Address: 7, Trafalgar Road, Epping, VIC 3076 Position Title: Full-time Information Management Coordinator Annual Salary: A$ 80,000 + Superannuation

Introduction: The Information Management Coordinator is responsible for organising, maintaining and improving New Horizon Construction’s project, tender, supplier, workforce and corporate information. The role manages digital records and business systems to ensure information is accurate, accessible and available to support project delivery, compliance and management decisions.

Duties: Systems and Process Improvement
• Identify inefficiencies and recommend improvements to information systems and workflows.
• Assist with the implementation of new systems, system upgrades and digital process changes.
• Configure and support integrations between business systems to improve information flow and reduce duplicate data entry.
• Review digital processes and update forms, registers and system workflows as business requirements change.

Project Information Management
• Maintain the central register for current and completed projects.
• Check project information for missing, duplicate or inconsistent records and coordinate required updates.
• Organise project information for reporting, tender submissions, audits and future reference.
• Coordinate the project information and documentation required before site works commence.
• Set up new projects and work locations in company systems, including Connecteam and Jotform.
• Add project details to digital forms and ensure the correct forms and records are available for each project.

Digital Forms and Document Management
• Design, implement and maintain Jotform templates for site and office records.
• Manage form submission notifications, document routing and online storage.
• Review and update digital forms when project, operational or compliance requirements change.

Workforce Information Systems
• Administer Connecteam for employee time and attendance records, user access and location setup.
• Create new users and project locations and support staff with clock-in, clock-out and system access issues.
• Monitor the accuracy and completeness of workforce information and time records.

Tender and Supplier Information
• Review tender documents and record submission requirements, supporting documents and quotation needs.
• Maintain the supplier and subcontractor database and keep contact and service information current.
• Issue requests for quotation to relevant suppliers and subcontractors.
• Organise quotations and tender records so information is complete, traceable and available within required timeframes.

Reporting and Analytics
• Prepare project reports and information summaries for management and project teams.
• Compile and analyse information from project, tender, supplier and workforce records.
• Present accurate information to support operational planning, project reviews and management decisions.

Compliance and Governance
• Apply consistent naming, filing and recordkeeping practices across registers, forms and business systems.
• Ensure company information is accurate, secure and accessible to authorised personnel.
• Conduct regular checks and data clean-up activities to improve information quality.
• Maintain information and documentation supporting workplace health and safety, Fair Work and recordkeeping requirements.
• Maintain organised documentation for audits and inspections.

Training and Support
• Train staff in data systems, time-tracking functions and reporting tools.
• Provide guidance to staff using Jotform, Connecteam, registers and other information systems, and promote consistent data-management and recordkeeping practices.

Corporate Information
• Provide guidance to staff using Jotform, Connecteam, registers and other information systems, and promote consistent data-management and recordkeeping practices.
• Maintain approved company and project information on the New Horizon Construction website and document system processes and changes.

Skills and Experience:
• Bachelor’s degree in Computer Science, Data Science, Information Technology, Information Management or a related field.
• Minimum 1 year of experience in data management, including maintaining structured registers, digital records, forms and data systems.
• Strong Microsoft Excel skills, including organising, validating, analysing and reporting data.
• Experience integrating multiple software platforms and data systems to improve information flow and business workflows.
• Strong analytical, organisational and problem-solving skills with excellent attention to detail.
• Clear communication skills and the ability to train and support staff in using data systems and digital tools.
• Understanding of construction project, tender, safety and compliance documentation is desirable.
