Contract Administrator

Job description

Your new company

The Port of Hastings is a strategically significant Victorian asset, uniquely positioned to support future economic growth. Its competitive advantages include extensive zoned land adjacent to existing port infrastructure, naturally deep-water access, and proximity to major offshore wind developments along the Gippsland coast. With a proposal for Australia's largest offshore wind project currently under consideration, the Port is entering a pivotal phase of growth, transformation, and long-term investment. Strengthening governance and legal frameworks is central to enabling this next stage of delivery.

You will be joining a well‑established organisation recognised for its strong market presence, strategic vision, and commitment to operational excellence in a 5-year max term position. The business is undergoing a period of sustained growth, supported by significant investment in technology, capability development, and organisational transformation. With a leadership team that values transparency, accountability, and continuous improvement, the company fosters a culture where high performance is supported, innovation is encouraged, and employees are empowered to contribute meaningfully to long‑term success.

Your new role

  • Administering all existing and future advisory contracts and the Main Works Contract, including preparation and management of contractual correspondence, monitoring compliance with contractual obligations, and preparing performance and status reporting for project leadership.
  • Assessing monthly payment claims, variations, extensions of time, and contractual notices, ensuring all submissions are reviewed in accordance with contractual requirements and project governance. This includes preparing commercial assessments, recommendations, and approval documentation.
  • Managing contractual claims, disputes, and contract change processes, ensuring all matters are handled in line with contractual provisions, probity requirements, and established project governance frameworks.
  • Preparing high‑quality commercial and contract administration reports, briefings, and recommendations for project governance forums, senior leadership, and external stakeholders.
  • Supporting the planning and delivery of procurement processes, including preparation of procurement documentation, evaluation coordination, and ensuring alignment with project procurement strategies.
  • Supporting the primary contractual interface with external stakeholders, including contractors, consultants, suppliers, and government partners, ensuring clear communication and effective relationship management.
  • Ensuring compliance with organisational and government procurement policies, contractual obligations, and relevant legislative and regulatory requirements.

What you'll need to succeed

  • Demonstrated experience in a comparable role with exposure to both strategic and operational responsibilities.
  • Strong analytical capability, with the ability to interpret data, identify patterns, and translate insights into practical recommendations.
  • Excellent communication skills, including the ability to influence, negotiate, and build trust with stakeholders at all levels.
  • Proven ability to manage competing priorities, work autonomously, and deliver outcomes within agreed timeframes.

What you'll get in return

  • A competitive remuneration package aligned with your experience and contribution.
  • Access to professional development opportunities, leadership support, and clear pathways for career progression.
  • A collaborative, inclusive workplace culture that values diversity of thought and encourages innovation.
  • Flexible working arrangements that support work–life balance.
  • The opportunity to make a visible impact in a role that is both challenging and highly rewarding.
