State Office Coordinator

Job description

Your new company

This global recruitment business is recognised as a market leader within its industry, supporting organisations and professionals across a range of sectors. With a strong focus on customer service, collaboration and creating exceptional workplace experiences, the business is committed to providing a professional and welcoming environment for both employees and visitors.

Your new role

An exciting opportunity has become available for a State Office Coordinator to join a busy corporate office in Melbourne. This is a fully office-based position, suited to someone who enjoys being visible within the business and thrives in a varied, fast-paced environment.
Combining reception, office management, events coordination and administration, this role offers the opportunity to become the go-to person for all things office operations. A key part of the role is ownership of the front-of-house experience. While reception responsibilities make up approximately 50% of the position, you will be responsible for ensuring this space operates seamlessly and reflects the professionalism of the business. We are looking for someone who will take pride in treating reception as their domain, creating a welcoming environment, maintaining presentation standards and delivering an outstanding first impression for every visitor, client and employee who enters the office. Beyond reception, you will manage facilities, coordinate office events, support onboarding activities, liaise with suppliers, organise meeting spaces and provide administrative support to key stakeholders across the business.

What you'll need to succeed

  • Previous experience in reception, office coordination, administration or facilities support
  • A genuine passion for customer service and creating positive workplace experiences
  • Strong organisational skills with the ability to manage multiple priorities
  • Confidence communicating with stakeholders at all levels
  • A proactive mindset with the ability to identify improvements and take ownership
  • Intermediate Microsoft Office skills
  • A professional, polished and approachable manner
  • A willingness to take a hands-on approach with a "no job too small" attitude

What you'll get in return

  • The opportunity to work for a leading global recruitment organisation
  • A diverse and highly visible role with broad exposure across office operations
  • Supportive team culture and career development opportunities
  • Modern office environment in Melbourne CBD
  • The chance to make a genuine impact on the employee and visitor experience
