Office Manager

Job description

Company: Altid Group Pty Ltd Position: Office Manager Employment: Full-time, Permanent Location: Melbourne, Victoria Salary: AUD $100,000 to $115,000 per annum plus superannuation (commensurate with experience and specialist qualifications; subject to employer approval)

About Altid Group

Altid Group Pty Ltd provides specialist building maintenance, façade remediation, glazing, waterproofing, height-safety and rope access services across commercial and residential properties in Melbourne and Victoria. Our office supports field teams, suppliers, clients and building managers through coordinated administrative and business operations.

The role

The Office Manager will organise, manage and continuously improve the company’s office administration, business systems and administrative personnel. The role coordinates internal workflows and resources to support safe, efficient service delivery across multiple building and façade maintenance projects.

This is an office-management position, rather than a construction project management or rope access technician role. The position also supports administrative coordination of specialist rope access operations and associated certification and compliance records.

What you will do

  • Plan, review and improve office administration processes, service standards, priorities and daily workflows.
  • Organise and allocate office personnel, workspace, equipment and administrative resources to meet operational needs.
  • Assign administrative tasks, supervise staff performance and coordinate training, onboarding and staff development.
  • Oversee office records, business correspondence, document control, client files and electronic filing systems.
  • Coordinate office accounts administration, including invoicing records, purchase orders, payment follow-ups and payroll information in liaison with accounting providers.
  • Maintain office purchasing, stationery, equipment, software subscriptions and relationships with office service providers.
  • Coordinate recruitment administration, employee records, rosters, leave records and personnel documentation.
  • Liaise with directors, clients, building managers, suppliers and external professionals to resolve administrative matters and maintain service continuity.
  • Coordinate administrative support for project teams, including schedules, site access records, inductions, SWMS registers, rope access technician certification records, anchor inspection documentation, insurance records and client correspondence.
  • Oversee office WHS processes, workplace risk controls, privacy and records management, and compliance with applicable laws and internal policies.
  • Prepare administrative reports, monitor office performance and recommend improvements to systems, efficiency and service quality.

What you will bring

  • Demonstrated experience managing office administration, business processes and administrative personnel.
  • Strong organisational skills with experience prioritising workflows and coordinating multiple stakeholders.
  • Ability to supervise and develop staff, allocate resources and monitor administrative performance.
  • Experience maintaining office records, accounts administration, payroll coordination and confidential personnel information.
  • Knowledge of workplace health and safety obligations and relevant Australian workplace requirements.
  • Excellent written and verbal communication, problem-solving and stakeholder management skills.
  • Proficiency with Microsoft Office and electronic document, accounting and workforce management systems.
  • Relevant qualification in business administration, management or a related field, or equivalent practical experience.
  • Legal right to work in Australia, or eligibility to obtain the necessary work rights.

Desirable experience

  • Office management experience in construction, building services, facilities maintenance or specialist rope access operations.
  • Experience coordinating administration for field staff, subcontractors, building managers and suppliers.
  • Current IRATA Level 3 certification is highly regarded for specialist technical liaison, understanding rope access compliance requirements and coordinating administrative support for high-risk work. This role remains primarily office-management focused.
  • Familiarity with SWMS registers, contractor compliance documentation, rope access certification records, client service agreements and project support systems.

What we offer

  • Competitive senior-level office management salary plus superannuation, reflecting relevant experience and specialist industry knowledge.
  • Professional development and training opportunities.
  • A supportive, collaborative team environment.
  • The opportunity to improve administrative systems in a growing specialist services business.
