IT Project Coordinator

Job description

Your new company

You will be joining a purpose-driven, not-for-profit healthcare organisation that delivers critical services to the community. With a strong focus on inclusion and advocacy, the organisation works closely with and supports the LGBTQ+ community, fostering a respectful, diverse, and values-led workplace.
Following a period of significant disruption—including an extended loss of power that led to hybrid working—there is now a strong focus on creating stability for staff through a well-managed office relocation and transition.

Your new role

As an IT Project Coordinator, you will play a key role in coordinating an office relocation to a new site located just 100 metres from the current premises, significantly larger and designed to better support staff and service delivery.
Working closely with internal IT and facilities stakeholders, you will manage the sequencing of activities required to ensure a smooth transition. This includes coordinating movers, managing asset and records relocation, overseeing minor infrastructure updates (such as front-of-house setup and signage), and ensuring the new site is operationally ready.
You will also support change management activities, including staff consultation, communication planning, and ensuring clear, consistent messaging to both internal teams and the broader community. This role will suit someone who thrives in a dynamic environment and can bring structure, clarity, and reassurance during periods of change.

What you'll need to succeed

  • Demonstrated experience in IT project coordination and/or change management
  • Proven experience supporting office relocation or workplace transformation projects
  • Excellent communication skills with the ability to engage a wide range of stakeholders
  • Strong organisational skills, with the ability to manage multiple workstreams simultaneously
  • Experience liaising with IT teams, facilities teams, and external vendors
  • Ability to develop policies, procedures, and operational documentation
  • A proactive and calm approach, particularly in environments that have undergone change
Additionally, given the nature of the organisation:
  • You must be comfortable working in an LGBTQ+ inclusive environment.
  • Have an awareness of inclusive language and pronoun usage, ensuring respectful communication at all times

What you'll get in return

In return, you’ll have the opportunity to play a key role in a meaningful, high-impact project that directly supports a community-focused organisation during a critical period of change. You’ll work within a collaborative, inclusive, and values-driven environment where your contribution genuinely makes a difference to both staff and the wider community. This role offers flexibility through hybrid working, a supportive leadership team, and the chance to bring structure and stability to an organisation that truly values its people. You’ll also gain exposure to end-to-end project delivery within a not-for-profit setting, making it an excellent opportunity to further develop your project coordination and change management experience.

This role is primarily remote, offering excellent flexibility, with only occasional on-site visits required depending on key project milestones such as the office setup and move. These visits will be infrequent, and the new office location is based in Newcastle, easily accessible via public transport.
